How your personal data is collected and what type of data is collected

Please note that you are not obliged to provide your personal data to Double Shore when requested. However, you may exercise your right to object at any time. If you choose not to provide such data, it may be impossible to provide our services, manage your application or respond to your enquiries.

Double Shore may collect your personal data through various means, for example when you subscribe to our newsletter, send us a speculative application, register on university job platforms, participate in job fairs, are referred by employees or former employees, participate in workshops or collaborations with the aim of being contacted by Double Shore, enter into a contract with us (employment, provision of services or otherwise), complete your client form or communicate with our customer support teams.

If you are a candidate, in order to identify you and present you with the most suitable employment opportunities and/or services, we need to process certain information about you. We only request data that we consider relevant, such as name, age, contact details, academic information, employment history, emergency contact details, immigration status, financial information (where financial background checks are required) and National Insurance number. You may, of course, choose to share additional relevant information. Where necessary and in compliance with applicable legislation, we may also collect information regarding any criminal convictions.

If you are a Double Shore client, we need to collect and use information about you or members of your organisation in order to provide a complete service and ensure the proper functioning of our contractual relationship. In this context, we may request details such as name, email address, job title and contact number of staff involved in the provision of services.

To improve the speed and personalisation of the services it provides, Double Shore may use your browser’s “cookies” functionality, enabling us to tailor services and the website to your preferences and needs, facilitate future interactions and enhance your experience on the Double Shore website. Data such as browser settings, operating system and geographical location may be collected. During your browsing of the Double Shore website, we may also use software tools to measure and collect session information, such as page response times, download errors, length of visits, page interaction information and methods used to exit the page. In addition, we may collect technical information to identify your device in order to prevent fraud and carry out diagnostics.

Purposes and legal basis for processing your personal data

This refers to processes necessary to optimise the services provided by Double Shore, analyse activity and identify potential future opportunities.

If you are a client, your personal data will be collected and processed for the following purposes:

Performance of contract
All activities necessary to fulfil the service agreement, including payment processing.

Communications
Contacts necessary for managing contracts and the commercial relationship.

Development and improvement of services
Processes aimed at optimising services provided by or to Double Shore, analysing activity, processing data for statistical and scientific purposes, as well as offering services to you or obtaining support and services from you.

Compliance with legal obligations
Processing of data as required by applicable law.

Establishment, exercise or defence of legal claims
In certain circumstances, your data may be used for the exercise of legal rights.

Whenever we collect your personal data for the purposes described above or for other purposes, we will inform you in advance or at the time of collection and, where necessary, request your consent to legitimise the processing of your data. If you have given your consent, you may withdraw it at any time.

However, in some cases, processing of your data does not depend on your consent but on other legal grounds, such as:

  • When it is necessary for the conclusion or performance of a contract with you;

  • When it is necessary to comply with legal obligations to which Double Shore is subject;

  • When it is necessary for the purposes of the legitimate interests pursued by Double Shore, provided such interests do not override your fundamental rights and freedoms – always ensuring that there is no less intrusive alternative for processing the data. If this legal basis is used, we will keep a record of that decision, and you may request that information;

  • When it is necessary for the establishment, exercise or defence of legal claims.

The security of your personal data

Double Shore adopts all measures within its reach to ensure the confidentiality and security of your personal data, implementing protection mechanisms against misuse, unauthorised access, loss, improper alteration or unauthorised disclosure.

Access to your personal data is granted only as previously indicated, on a strict need-to-know basis and, when processed by third parties, subject to rigorous contractual confidentiality obligations.

Although data transmission over the internet or via websites cannot guarantee absolute security against potential unauthorised access, Double Shore and its service providers are committed to implementing and maintaining best practices in physical, electronic and procedural security, in compliance with applicable data protection legislation.

Data retention period

Double Shore will retain your personal data only for the period strictly necessary to fulfil the purpose for which it was collected.

Personal data obtained within the scope of recruitment processes will be retained for a period of 10 years after the last contact with the candidate. Client personal data will also be stored for a period of 10 years.

With whom your personal data will be shared

In accordance with applicable legislation, Double Shore may be required to provide information to competent authorities, such as the tax authorities, social security, the labour authority and, in the event of judicial warrants, the judicial authorities.

Whenever personal data is transferred outside the EEA, Double Shore will ensure that it benefits from the same level of protection as it would within the EEA. To this end, one of the following safeguards will be adopted:

  • Transfer to a country whose data protection laws ensure an equivalent level of protection to that of the EEA;

  • Entering into a contract with the receiving entity, obliging it to protect the data under the same standards applicable within the EEA;

  • Transfer of data to organisations covered by international data protection agreements recognised by the European Union, such as the Privacy Shield framework, which establishes privacy standards for data sharing between the United States and European countries.

As the data subject, you have a set of rights regarding how your personal data is processed, namely: the right to object, the right to be informed, the right of access, the right to rectification, the right to restriction of processing, the right to erasure, the right to data portability, the right to lodge a complaint, and the right not to be subject to automated decision-making.
